How to Plan a Dealer Meet in Gujarat: A 12-Week Guide

A practical dealer meet planning guide for Gujarat brands: 12-week timeline, dates to avoid, venue options in Ahmedabad and Gandhinagar, agenda, awards, travel and budget.

A dealer meet is the one day a year your channel decides whether it still believes in you. Targets get announced, a product gets revealed, the top fifty names walk up for a trophy, and three hundred people who sell your brand for a living go home either fired up or quietly shopping for a second principal. In Gujarat, where dealer networks for ceramics, pumps, cables, chemicals, two-wheelers and FMCG run deep into Saurashtra and North Gujarat, the logistics decide that outcome as much as the speeches do.

This guide is the planning sequence our team uses for dealer meets and channel partner conferences in Ahmedabad and Gandhinagar. It is written for the marketing or sales head who has been handed the event and twelve weeks to deliver it.

What a dealer meet has to achieve

Before a venue or a theme, write down the three things the business needs dealers to do differently after the meet. Usually it is some mix of: stock the new range, hit a revised quarterly target, adopt a new ordering or credit process, and stay loyal against a competitor's scheme. Every agenda block, award category and stage moment should serve one of those three. If a block serves none of them, it is entertainment, and it belongs in the evening.

The 12-week planning timeline

  1. Weeks 12 to 10: brief and budget. Fix the objective, dealer count by region, number of nights, and a per-head budget. Decide whether spouses are invited, because that roughly doubles rooms and changes the evening programme.
  2. Weeks 10 to 8: dates and venue. Lock dates before anything else; in Gujarat the calendar is the hardest constraint (see below). Shortlist two venues, do a site visit, and block rooms with a release date.
  3. Weeks 8 to 6: theme, agenda and awards. Write the run-of-show, finalise award categories with sales, and brief the stage and AV team. Award data must come from the sales system, signed off by the regional managers, so nobody disputes a trophy on stage.
  4. Weeks 6 to 4: invitations and travel. Send the dealer meet invitation with dates, travel mode and an RSVP deadline. Collect names exactly as on ID for flights and trains, plus arrival times.
  5. Weeks 4 to 2: production and content. Build presentations to the stage format (usually a wide LED ratio, not 16:9), record AV for the product reveal, rehearse award walk-ups, and print kits.
  6. Final week: rooming list, rehearsal, run sheet. Confirm the final rooming list with the hotel, run a full technical rehearsal the night before, and hand every desk lead a minute-by-minute run sheet.

Choosing dates around the Gujarat calendar

Most dealer meets fail on dates, not on content. Three seasons squeeze Ahmedabad and Gandhinagar every year:

  • Navratri and Diwali. Dealers are busiest selling in the run-up to Diwali and are unreachable during the festival week itself. Halls and hotels fill up for garba events across the nine nights. Hold the meet after Labh Pancham or well before Navratri.
  • Wedding season, roughly November to February. Banquet halls, party plots, decorators and LED suppliers are booked by families months ahead, and rates rise. A Saturday in December is the most expensive day you can pick.
  • Large Gandhinagar summits and trade shows. When a major state summit or exhibition is running at Mahatma Mandir or the Helipad Exhibition Centre, Gandhinagar and Ahmedabad hotels tighten. Check the state events calendar before you sign.

For most Gujarat brands, the cleanest windows are late March to April (after year-end closing, with fresh annual targets to announce) and July to August (monsoon, lower hotel rates, dealers less stretched).

Picking the venue: city hotel, convention centre or destination

The format follows the head count and the message.

  • Up to about 300 dealers, one night: a city hotel with a pillarless ballroom on SG Highway, Ashram Road or near the airport works well. Dealers from Rajkot, Vadodara, Surat and Mehsana can drive in, and one property handles stay, conference and gala dinner.
  • 500 to several thousand delegates: Mahatma Mandir in Gandhinagar has convention and exhibition halls built for this scale, with space for a product display alongside the main hall. Plan hotels across Gandhinagar, GIFT City and north Ahmedabad, with scheduled shuttles.
  • Incentive-led meets for top performers: take a smaller group to a destination such as the Statue of Unity at Ekta Nagar or the Rann Utsav tent city in Kutch (in season). The trip itself is the reward, and the business session runs on the first morning while attention is high.

Whatever the venue, ask for the hall's ceiling height, rigging points, power load and load-in time before you design the stage. A 30-foot LED wall concept is worthless in a ballroom with a 14-foot ceiling and a 6 pm handover after a wedding lunch.

Building an agenda dealers actually sit through

Dealers did not travel to watch forty slides of last year's numbers. A structure that holds the room:

  • Arrival, registration and kit collection, with tea and the product display open.
  • Opening by the MD or promoter: ten minutes, the year in one story, not a spreadsheet.
  • The product reveal as the centrepiece, with the build-up designed for the stage, not just a video on a screen.
  • Schemes, targets and process changes, presented by the sales head, with a printed one-page summary in the kit so dealers do not need to photograph slides.
  • One external or customer voice, such as a dealer success story or an installer demo, to break the run of company speakers.
  • Lunch, then regional breakouts where area managers talk to their own dealers.
  • Evening awards and gala dinner, kept separate from the business sessions.

Running the dealer awards night

Awards are the part dealers remember and talk about at the counter for months. Keep categories tied to behaviour you want more of: highest growth, best new-range uptake, best new dealer, longest partnership. Announce each with the dealer's town and a photo, and keep walk-ups under a minute with a stage manager cueing names, music and photographers. For a large list, split awards into regional groups between dinner courses so the room is not watching ninety trophies in a row.

If the evening also needs a stronger show element, our award ceremony production team plans the stage, cue sheet and entertainment together so the night has one rhythm.

Travel, stay and hospitality for out-station dealers

A dealer's opinion of your company is formed in the first hour after arrival. Get the basics right:

  • Meet-and-greet desks at Ahmedabad airport and Ahmedabad and Gandhinagar railway stations, with branded signage and a phone number that is actually answered.
  • Pre-assigned rooms with welcome kits, so check-in is a key handover, not a queue.
  • A hospitality desk at the hotel for return travel changes, local shopping trips and medical needs.
  • Pure vegetarian and Jain meal options marked clearly, since a large share of Gujarat dealer networks will need them.
  • A WhatsApp broadcast with the day's schedule, shuttle timings and the venue location pin.

Dealer meet budget: where the money goes

Costs vary widely by scale and city, so treat this as a split rather than a quote. For a typical one-night meet with stay, the largest share goes to rooms and food and beverage, followed by stage, LED, sound and lighting, then travel, then awards, gifting and entertainment. The items most often missed are hall set-up days (you pay for the build day too), GST on every line, extra rooms for the crew and artists, and last-minute dealer additions after the RSVP deadline. Keep a 10 percent contingency.

Our event management cost guide for Ahmedabad covers how agency fees and vendor costs are usually structured.

Measuring whether the meet worked

Agree the measures with the sales team before the event, then check them 30 and 90 days later: orders for the new range from attending dealers versus non-attending ones, scheme enrolment, attendance rate against RSVPs, and a short dealer feedback form sent the morning after. Our post on measuring corporate event ROI goes deeper on setting these up.

When to bring in an event partner

A 60-dealer regional meet in a single hotel can be run in-house with a good hotel banquet team. Once you add out-station travel, a product reveal, an award ceremony and more than one venue, the number of vendors and handovers is where things break. AUM Event has produced dealer meets, channel partner conferences and MICE programmes from Ahmedabad since 1989, with travel, stay, stage, AV and hospitality under one project lead.
